These policies are designed to ensure a smooth and professional experience.
By booking a consultation, purchasing a service, or reserving a trip, you agree to the following terms:
✈️ Booking & Consultation Policies
Following your consultation, a $50 deposit is required before we begin research, itinerary creation, and booking recommendations. This deposit is non-refundable and will be applied toward your final trip cost.
This covers the time and expertise required to gather details and create your customized recommendations.
Work on your trip will begin once payment and all required details are received.
Deposits for group trips & packages are required to hold space and are non-refundable unless stated otherwise by the travel supplier (airline, resort, or tour operator).
💳 Payment Policies
Accepted Payment Methods: includes, Square, Apple Pay, Stripe, PayPal, and other secure online payment options.
Payment Deadlines: Final balances must be paid by the date shown on your invoice. Late payments may result in loss of booking or price changes.
Currency: All prices are listed in USD unless otherwise specified.
📅 Turnaround Time & Revisions
Trip Planning: You will receive your trip recommendations or itinerary within the time frame specified at booking.
Revisions: One (1) round of revisions is included with your service. Additional changes may require a fee.
Rush Requests: Requests for urgent planning (under 48 hours) may incur a rush fee.
❌ Cancellation & Refund Policy
Service fees are non-refundable once work has begun.
All refunds for flights, hotels, or excursions follow the supplier’s policies.
We can assist with changes when possible, but supplier change fees may apply.
🛡️ Responsibility & Liability
Suitcase & Smiles with Avy acts as a travel planner and booking agent.
We are not responsible for:
Flight delays or cancellations
Lost or stolen luggage, personal items, or travel documents
Weather disruptions, natural disasters, illness, or accidents
Supplier errors or overbookings
Travel insurance is strongly recommended to protect your trip and provide coverage for unexpected events.
Client Responsibility
You are responsible for:
Ensuring your passport is valid
Understanding entry requirements for your destination
Arriving on time for flights, check-ins, and activities
📩 Communication & Office Hours
Business Hours: Monday–Friday, 10 AM – 6 PM EST
Response Time: Please allow up to 24–48 hours for a reply to emails or messages.
Urgent Requests: Call or email during business hours for time-sensitive matters.
✈️ Intellectual Property & Usage
All custom itineraries, trip plans, travel guides, and related materials provided by Suitcase and Smiles with Avy are the intellectual property of our company.
These materials are for personal use only and may not be:
Resold, redistributed, or reproduced
Shared publicly (including social media, blogs, or forums)
Copied or used by another travel agency or business
Unauthorized use, reproduction, or distribution of our work is strictly prohibited and may result in legal action.
🔒 Privacy Policy
Your personal information (passport details, payment info, contact information) will remain confidential and used solely for planning and booking your travel.
We never sell or share your information with third parties outside of your travel arrangements.
